During times like these, your care and wellbeing matter most, and we are here to provide the support, guidance, and reassurance needed for a successful transition to your new dietitian, should you choose that path. This page is designed to offer all the information you require throughout this time and beyond.

To ensure a smooth continuation of your care with your new dietitian, we've outlined a step-by-step process:
Step 1: Client Support Calls
Carlia, our dedicated Founder and Head Dietitian, will reach out to you shortly. She will discuss your individual care needs, offering personalised options to support, re-assure, and guide you through this transition. These calls are provided at no cost to you and are available as often as needed throughout the upcoming weeks.
Step 2: Client Support Packages
Introducing our exclusive Client Support Packages designed to offer continuous assistance during this transition. These packages include discounted sessions, exclusive access to our New Client Portal, and participation in FREE online workshops/webinars. It's our way of ensuring you receive valuable support during this period.
Step 3: Transition to Another Dietitian
Rest assured, our team of skilled, compassionate, and experienced dietitians are ready to seamlessly continue your care. Your wellbeing remains our top priority, and we are committed to providing you with the highest level of service throughout this transition.

Step 2: Client Support Package
Our new Client Support Packages are designed to provide valuable support during this time. We have two options available both including discounted sessions to further support you over the coming weeks.
Package One
Pre-pay for 6 x Follow-up Consults* ($1080) and receive 1 Additional Session for FREE

A surcharge applies for afterhours appointments (after 4pm on weekdays and on weekends).
Package Two
Pre-pay for 12 x Follow-up Consults* ($2160) and receive 1 Additional Session for FREE

Client Support Package FAQ

Once you join a package you can start sessions straight away.
You will also receive access to the Client Portal where you can start accessing client resources straight away.
For clients who join on Package 2 will receive exclusve access to all online Workshops/Webinars scheduled for 2024.
Please note that your package is valid for 3 months for 6 session packages and 6 months for 12 session packages from the date of commencement, and any unused sessions will expire after this period.
Should you decide to extend your care beyond this initial package, we are here to support you on your continued path to well-being.

The Support Packages are designed for all clients. We've tailored the content to address the unique struggles women face in maintaining a healthy relationship with food.
However, we want to emphasise that the Online Workshops/Webinars and Group Coaching is open to anyone 18 years or older.

If you have an Eating Disorder Treatment Plan (EDP) or Chronic Disease Management Plan (CDMP) from your GP or psychiatrist, you may be eligible for a Medicare Rebate of $58.00 per session for up to 20 or 5 individual sessions, respectively.
For clients enrolled in an EDP or CDMP we process your Medicare Claim at the time of payment. Your rebate is typically processed within 24-48 of you session, and the funds are directly deposited into your account.
If you would benefit from either plan, our dietitians can help you qualify for one (note that Medicare eligibility criteria apply).

Yes, we accept Private Health Insurance, and the rebate you receive depends on your insurance level, so please contact your provider to confirm. At session you’ll receive a detailed receipt for Private Health Fund reimbursement.

We recognise that arranging appointments during standard office hours may not always align with your schedule.
To accommodate your needs, we provide After-Hours Appointments starting from 5pm on weekdays, as well as weekend appointments.
Please note that there will be a modest after-hours surcharge of $15 which is not included in the cost of the Client Session Package,
This surcharge is meant to cover the additional staffing and operational costs associated with providing care during these after-hours times.
It will be clearly outlined in your invoice. Please understand that this surcharge only applies to sessions scheduled during these after-hours periods. We appreciate your understanding and are here to accommodate your scheduling preferences while ensuring the highest quality of service.

In the event of dietitian unavailability or the need for a dietitian transition, your care and support remain our top priority.
You will have the option of a smooth transition to another qualified dietitian within our clinic to ensure uninterrupted and high-quality support throughout your nutrition journey.

Yes, you have the option to discontinue your care at any time.

If you request a refund, it will be provided after adjusting for used sessions (at the discounted rate) and a modest $15 administrative fee.
Our aim is your satisfaction, ensuring a transparent and equitable refund process.

At Welcome to Wellbeing, we value your time and aim to provide exceptional care. To accommodate all clients and ensure efficient service, we have a cancellation policy:
• We kindly request that you provide us with a minimum of 48 business hours' notice (excluding weekends and public holidays) if you need to re-schedule or cancel your appointment. In the event of a missed appointment (no-show), or if you fail to provide enough notice, a full session fee (100% of the appointment cost) will be charged.
• We understand that unforeseen circumstances may arise, such as illness. If you find yourself unwell, you are welcome to cancel your appointment within the 48-hour notice period. To waive the cancellation fee, we kindly request that you reschedule your appointment within the next 3 days, whenever your clinician is available and working. This ensures flexibility for rescheduling and avoids charges for situations beyond your control.
• In the case of emergencies, rest assured that the cancellation fee will be waived to prioritise your well-being.
• We understand that circumstances, such as eating disorder or mental health-related inpatient admissions, may arise unexpectedly. If such situations occur within 48 business hours' of your appointment, rest assured that the cancellation fee will be waived. We appreciate your understanding and ask for prompt notice if you need to cancel due to an inpatient admission. Thank you.
• Rescheduling by W2W: We reserve the right to reschedule appointments at any time, without compensation, if it becomes necessary due to staff illness or other unforeseen circumstances.

Payments plans are not currently available for the Client Session Packages.

Joining is easy.

Yes, you have the option to temporarily pause your sessions. Discuss this with your dietitian during sessions to make necessary adjustments to your care plan.
Remaining sessions on your package will be reserved until you are ready to resume. Throughout this pause, your dietitian will maintain communication with your health care team and conduct periodic check-ins to ensure your continued comfort and readiness to proceed with your nutrition care.

We respect your choice. If you decide not to join, you will still be provided the opprotunity to transfer to a new dietitian in the clinic. While you won't have access to the additional benefits and bonuses, rest assured that your regular appointments will be maintained with care and attention.

As the package concludes, you're invited to renew with new pricing (effective March 1) and without the initial bonus. We're committed to transparency and ensuring you have the information you need to make the best decision for your ongoing care.
Step 3: Transition to Another Dietitian
At Welcome to Wellbeing, our experienced dietitians are dedicated to ensuring the continuity of your care. Prior to your transition to a new dietitian, we are implementing a seamless handover experience for you, prioritising your comfort and confidence throughout the process.
This includes offering a joint session with both your current and new dietitian, allowing you the invaluable opportunity to meet your new dietitian before commencing your sessions—at no additional cost to you. Please note that while we will do our best to accommodate a joint session, it is dependent on aligning dietitian schedules, and in some cases, the joint session may be a brief 10 minutes.
Additionally, the handover process involves a thorough transition from your current dietitian to your new one, ensuring all relevant information is transferred seamlessly.
Your new dietitian will reach out to you personally to introduce themselves, fostering a sense of connection from the beginning.
We understand the importance of feeling supported during transitions, and rest assured, we will take care of all necessary details, including communication back to your healthcare team, to make this transition as smooth, reassuring, and supportive as possible for you.
